Purpose

If your user account has been assigned a workflow, you can view your assigned tasks by clicking on Workflow in the sidebar menu on the main screen of Acclamare. The tasks are shown on individual tiles with a brief explanation of what you should be doing to complete the task. Tasks are listed in the order in which they should be completed. They are listed from left to right, then top to bottom.

Tiles

Tiles contain information about the task. All tasks will contain the following information:

  • The name of the task is displayed in bold letters across the top of each tile. The name is meant to be informative and should give you a general idea of what you should be doing in order to complete the task. If the task is considered highly important, the text will be in red.
  • Information about why the task is appearing in your workflow is displayed next. This text also gives you more information about how to go about completing the task.
  • The lower right corner of each tile contains a sequential number. This is just a visual reference to make it clear what order the task should be completed in. The first task in the upper right of the grid is always number 1, the tile next to it is number 2, etc.

If the task is a static task, meaning that it is supposed to occur at a specific interval (hourly, daily, or weekly), the time when the task is supposed to begin is displayed in the lower left corner.

Working on a Task

Most, but not all, tasks are related to a specific screen in Acclamare. To begin working on a task, double-click the tile. If the task is tied to a specific screen, Acclamare will open it for you. Once you double-click the tile, a check mark will appear in the upper right corner of the tile, giving you a visual indicator that you've elected to work on the task. After 5 minutes, the tile is removed from the screen and moved to the Completed Tasks tab.

When you double-click the task, and begin working on it, Acclamare will do one of the following things:

  • Open a screen and populate it with the relevant data.
    • These types of tasks generally only require you to review the data, make changes only when necessary, and then post the transaction.
    • An example of this kind of task is "Replenish Out of Stock Items". When you double-click this tile, the system will
      • open the Replenishment screen
      • automatically create a replenishment worksheet for items that are out of stock
      • populate the screen with the created worksheet
  • Open a blank screen that is ready for you to use.
    • These types of tasks generally require more input from you. They serve as a reminder that the task needs to be completed, but provide less guidelines than the previous type do.
    • An example of this kind of task is "Replenishment". When you double-click this tile, the system will only open the Replenishment screen for you. Unlike the previous example, it's up to you to determine the filter criteria and which items to purchase.
  • Open a screen that helps you determine which documents to work on.
    • These type of tasks generally require some amount of research.
    • An example of this kind of task is "Customer Returns not Received". When you double-click this tile, the system will take you to the Customer Document Inquiry and display all relevant Customer Returns. You will then need to go through each line in the inquiry and determine what, if anything, needs to be done on each line.
  • Open no screen.
    • These types of tasks are usually just reminders. They might be used to tell you to check the mailbox, run a report, or other things that are done outside of Acclamare.

Completed Tasks

Once a task is started and five minutes have passed, the task is moved to the Completed Tasks tab. This grid is read-only and is simply for informational purposes. Tasks that you actually completed are shown with a check mark. Tasks that are listed on this tab that do not have a check mark are there for one of two reasons.

  • Static tasks that you did not complete in time. The most likely example would be a task that you are supposed to do every hour, but you did not complete within an hour. So, if you had a task that you were supposed to start at 9:00, but did not finish before 10:00, now the 10:00 task is on the Tasks tab and the 9:00 task is on the Completed Tasks tab but is not checked off.
  • Dynamic tasks that you did not complete before they were no longer relevant. The most likely reason is that someone else completed the task and you no longer need to perform it.
